Studio Policies & Procedures

Welcome to Jessy Eubanks Music!! I’m honored to be a part of your musical journey. Please read the following carefully as your enrollment constitutes agreement to all policies.

Lesson Objectives

  1. A well-rounded musical foundation including theory, ear training, reading, and technique.

  2. Essential skills such as how to practice, problem solve, make decisions, and achieve goals.

  3. Tools to perform, collaborate, and create with confidence and artistry.

Expectations 

Students:

  • Make a sincere effort and bring materials to every lesson. 

  • For piano students, keep nails short.

  • Practice regularly (we’ll discuss specifics in your lesson).

  • Perform in and attend a biannual recital. Optional for adults, new students, and composition/theory students.

  • Respect all instruments and property in the instructor's home; only touch instruments with clean, dry hands and do not handle roughly or play without permission.

Parents/Guardians:

  • Gently encourage practice and musical risk-taking.

  • Provide an instrument (if applicable) and distraction-free practice environment. 

  • Manage young children; do not let them wander or touch things not for students. 

Parents/Guardians/Family During Lessons:

  • For students approximately 4th grade and below, please silently sit in the lesson and observe so you can guide practice at home. Your gentle assistance with regular practice is crucial to meaningful progress.

  • It is up to older students if they would like an adult to observe.

  • Anyone not observing can wait in the living room or outside. On time drop offs are also welcome.

Payment

  • Payment is due in full by the 1st. Invoices are emailed and optional autopayments are drafted on the 21st. 

  • Payment covers all lessons in the upcoming month, plus occasional reimbursement for books. Optional extracurricular events, such as theory tests and festivals, may have additional fees.

  • Borrowed books that get lost or damaged will be charged to your account.

Late Payment

  • No lesson is taught without payment. If you arrive unable to pay an outstanding balance, the lesson will be canceled with no refund or make up.

  • A $35 late fee will be charged after the 5th.

  • After 14 days of nonpayment, lessons will be discontinued. 

Scheduling

  • Lessons are weekly, with some exceptions for holidays and teacher time off. A scheduling email and text reminder will be sent on a monthly basis, at which time students are asked to identify any potential scheduling conflicts. While some missed lessons are inevitable, schedule changes should be saved for unavoidable conflicts and illnesses.

  • Please update the calendar in My Music Staff (MMS) as soon as possible in the event of a scheduling conflict. See the “How to use My Music Staff” post for details. 

  • Changes to your regular lesson date/time need to be coordinated directly with the teacher. 

Cancellation

  • Cancellations within 48 hours/no-shows still require payment. 

  • With more notice, or if the teacher cancels, payment is credited to the next month. 

Rescheduling & Make Up Credits

  • Openings for rescheduling are limited. If you have a scheduling conflict, first try trading a lesson time with another student via the swap list in MMS. If the swap list doesn’t work, then reschedule in MMS, or get make up credit to book the lesson at another time by clicking “cancel” and indicating you want a make up credit.

  • Book a time using make up credits under “Find & Book” in the calendar tab. Make up credits are non-refundable and must be booked within 60 days, or the lesson is forfeited.

  • 48+ hours advance notice is needed to reschedule or get a make up credit, with the exception of two “late reschedules” a year per student (under 48 hours’ notice but prior to the lesson).

Inclement weather/unplanned circumstances

  • In case of inclement weather or unplanned major events (including but not limited to natural disaster, epidemic) lessons are encouraged to be virtual or asynchronous. Flexible rescheduling may also be announced via email.

Illness

  • Please stay home in case of anything contagious. Anyone sick/contagious, including those accompanying the student, will kindly be sent home with no refund or make up.

  • In case of illness, options are:

    • Online lesson

    • Asynchronous lesson

    • Swap list

    • Reschedule (late rescheduling policy permitting)

    • Cancel

Timeliness

  • Lessons start and end on time, even if you are early or late. 

  • For safety and liability reasons, please no early drop offs/late pick ups.

Enrollment Requirements 

  • Summer: at least 4 lessons (including virtual/asynchronous) are required to keep your spot.

  • School year: missing/canceling 3+ consecutive lessons or taking a break forfeits your spot.

  • “Summer” & “school year” are defined by the Austin Independent School District calendar.

Stopping Lessons

  • If you stop taking lessons, please give notice via email and pay any remaining balance. Stopping within 48 hours still requires payment. 

  • While rare, the teacher may find it necessary to discontinue lessons for reasons including, but not limited to; poor attendance (excessive absence, rescheduling, and/or tardiness), habitually late payments, and problematic behavior. 

  • No refunds are available. 

Communication

  • Discussions about progress, learning styles/preferences, ways I can further assist, and questions regarding practice during the week are always welcome. Although you may text if it is time-sensitive, email is generally best.

  • Manage your schedule and find answers to non-musical questions in My Music Staff. Check the “FAQ/How To Use MMS” or “Policies” posts in the News tab.
